How to Buy Napkins Wholesale: A Buyer's Guide for Restaurants, Caterers and Venues

Learn how to buy napkins wholesale: match napkin types, calculate volume, compare suppliers and open a trade account. Includes a bulk order formula.

Updated October 2, 2026

To buy napkins wholesale, decide which napkin types your operation uses, estimate your monthly volume, compare suppliers on material, size, colors and volume pricing, and then open a trade account so you can order by the case. Buyers save the most when they standardize on a few napkin styles and reorder on a schedule instead of buying whenever the storeroom runs low.

This guide is written for restaurant owners, caterers, event venues and bar managers who buy napkins anywhere in the United States. It includes a simple volume formula you can run with your own numbers, a supplier checklist, and the practical details that often get missed: minimum orders, tax-exempt ordering and custom branding lead times.

What does "wholesale napkins" actually mean?

Wholesale napkins are napkins sold by the case to businesses at a lower per-napkin price than retail. Instead of paying shelf pricing for a small pack, you buy in volume, usually through a trade account, and your price per napkin drops as your order size grows.

The category is wide. At one end are thin, multi-ply paper napkins priced purely on cost. At the other end are linen-like airlaid napkins that drape and feel like fabric but are still disposable. If your room is built around atmosphere, the second group is usually the better fit. You can learn more about the material in our guide to airlaid napkins.

How do you buy napkins in bulk? A six-step process

  1. List every napkin touchpoint. Walk the guest journey: bar, dining table, patio, takeout counter, restrooms and private events. Each one may need a different napkin.
  2. Match each touchpoint to a napkin type. Cocktail napkins for the bar, dinner napkins for plated service, luncheon napkins for daytime service, pocket napkins when cutlery is pre-set, and guest towels for restrooms.
  3. Estimate monthly volume. Use the formula in the section below, then add a buffer for peak weekends and events.
  4. Compare suppliers on the same criteria. Look at material, size, color range, minimum order, volume tiers, shipping thresholds and custom branding options.
  5. Open a trade account. This is where wholesale pricing, tax-exempt ordering and dedicated account support typically live.
  6. Order, test, then standardize. Run the napkins through a real service. If your team and guests are happy, set a reorder rhythm.

Which napkin type fits which part of your operation?

Use this table to match common touchpoints to Singular's wholesale lineup. Sizes and counts come from the product pages.

Napkin Best for Key details
Cocktail napkins Bars, cocktail hours, receptions 4.75-inch square folded, 9.5-inch square unfolded; airlaid; 20 colors
Dinner napkins Plated dinners, weddings, upscale dining 15.75-inch square; airlaid; 800 per case; more than 20 colors
Luncheon napkins Everyday daytime service The service workhorse for cafes and lunch rooms
Pocket napkins Pre-set cutlery, buffets, casual dining Built-in pocket for cutlery
Guest towels Restrooms, tasting rooms, hotels Single-use, cloth-like hand towels

How many napkins should you order?

Start with this formula: covers per day x napkins per cover x service days per month = napkins per month. Then add a buffer for peak weekends and private events. Ten percent is a reasonable starting point that you can adjust after a month of real tracking.

Here is an illustration with made-up numbers. A restaurant serves 150 covers a day, uses 1.5 napkins per cover and operates 26 days a month. That is 150 x 1.5 x 26 = 5,850 napkins. At 800 dinner napkins per case, the base need is about 7.3 cases, so the owner rounds up to 8. With a 10 percent buffer (6,435 napkins), the order becomes 9 cases.

The number that moves this math the most is napkins per cover. When a napkin is soft, absorbent and strong, guests tend to use one instead of reaching for a second or third. We explored that idea in The One-Napkin Wonder. Track your own number for two weeks before you lock in a standing order.

What should you compare between napkin suppliers?

Price per napkin is only one line on the scorecard. Compare every supplier on the same checklist:

  • Material and feel: Does it hold up through a full course and when wet, or fall apart?
  • Size: A 15.75-inch dinner napkin covers a lap. A smaller napkin may not.
  • Color range: Can you match your table, bar program or event palette without special orders?
  • Minimum order: Some suppliers require pallets or dollar minimums. Others do not.
  • Volume tiers: Ask how pricing changes at higher case counts, and what a standing order unlocks.
  • Tax-exempt ordering: Qualified businesses can often buy resale or exempt items without sales tax. Rules vary by state, so confirm what your state requires.
  • Custom branding: Check available napkin types, lead time and artwork requirements.
  • Shipping and fulfillment: Look for free-shipping thresholds, order cutoffs and how quickly reorders go out.

How does Singular's wholesale program work?

Singular's wholesale program is built for restaurants, hotels, event venues, caterers, wineries and bars. Here is how it works:

  1. Apply. Tell Singular about your business and what you need through the wholesale application. It takes about two minutes.
  2. Get approved. Your account manager confirms access, usually within one business day.
  3. Sign in and save. Log in to see wholesale pricing and order at your volume tier.

There is no minimum order, so you can start with a single case. Savings are tiered against retail pricing: standard wholesale rates of up to 20 percent, volume pricing of up to 40 percent, and custom pricing of up to 60 percent for orders of 21 or more cases (5,000 or more napkins). Exact discounts depend on product, color and volume, and wholesale pricing is visible after your account is approved.

The account also includes a dedicated account manager, tax-exempt ordering for qualified businesses, priority fulfillment and custom branding options.

What costs hide behind a "cheap" napkin?

A low sticker price can hide real costs. Thin napkins get doubled up, which raises your napkins per cover. They also change how the room feels, which is hard to measure but easy for guests to notice. On the other side, linen service adds charges for laundry, replacements and the staff time spent folding and sorting.

Cost control is not a side issue for operators right now. The National Restaurant Association's 2026 State of the Restaurant Industry report describes persistent cost pressure and uneven traffic, and its press release notes that more than nine in ten operators cite food, labor, insurance, energy and card fees as significant challenges. Consumables are one of the few line items you can standardize and forecast, which is why a predictable per-napkin cost is worth the effort of a proper comparison.

Can you add custom branding to wholesale napkins?

Yes. Singular prints logos and monograms on cocktail napkins, dinner napkins, pocket napkins and guest towels through its custom branding service. The company uses food-safe, water-based inks, and custom orders typically take two to three weeks of production after artwork approval. Build that window into your reorder schedule so a launch or event never waits on printing. For bar programs, our guide to custom printed cocktail napkins covers design and ordering in detail.
